Job Summary: Support and become the right hand person for the CEO for day to day tasks and responsibilities. This is a unique opportunity to be in the middle of amazing growth and key relationships, speaking engagements and protecting her time for what is most important.  There are a lot of moving pieces and the skills of successfully juggling multiple things at once yet staying organized, efficient, being proactive to find solutions on your own and frequent and succinct communication are a must.   

Tasks and Responsibilities:

  • Be available to support the CEO with all tasks and responsibilities
  • Direct support to the CEO for project management of CEO tasks
  • Attend key meetings with CEO for taking notes and translating into next action steps 
  • Manages admin/affiliate email inbox, key business relationships, and CEO’s calendar
  • Book podcast and speaking opportunities and vet requests 
    • Coordinate activities with key business relationships based on their relationship with the founder and pivoting relationships when needed
    • Maintaining key relationships by keeping an updated detailed record of the relationship activities
  • Handle executive tasks: daily priority tasks, Asana task management and final document preparation with business brand
  • Facilitate team communication, meeting agendas with team members and event planning.
  • Keeping a record of business ideas and revisiting them once in a while to determine which of these ideas can be implemented and explored further
  • Provides an updated to do list M-Sat. (end of day Friday for the weekend)

Qualifications and Skills:

  • Dependable, organized, efficient 
  • Strong communication skills.
  • Able to work independently and in a team environment
  • Proactively seeks solutions as will not always have the CEO available to ask
  • Google suite, Asana, chatgpt.
  • Remote work experience, proficient in scheduling and project management.
  • Ability to project manage across multiple projects with strong attention to detail
  • Experience with zoom and its advanced features
  • Ability to work under pressure and stress and stay solution focused
  • Ability to successfully and efficiently manage a calendar and schedule appointments

Accountable Outcomes:

  • Prompt email responses within 24 business hours.
  • Efficiently scheduling essential meetings within 24 hours of request.
    • Ensures the right people are on her calendar for the right amount of time
    • Manages her Asana tasks received by the team
    • Effectively and efficiently communicates action items to team members
    • Provides an updated to do list M-Sat. (end of day Friday for the weekend)
    • Ensure all links and documents provided to the CEO are correct and operational 
  • Vetting affiliate and podcast invitations aligning with our goals.
  • Clean Organization of Files and Documents while keeping SOPs uptodate

Ideal Applicants:

  • Will already have familiarity with chatgpt, other AI Tools, Google chat/drive and Asana project management software
  • Are looking for a long-term (>5 years) work place where they can make a big impact in the world
